7.4.1.3 Inclusion of Indigenous Community Procurement Integrity Language

To ensure auditable compliance with the Pehta Framework's Indigenous Community Benefit Disclosure Standards, a streamlined accounting practice for incorporating Indigenous Community Procurement Integrity language in Request for Proposals (RFPs) and communications with suppliers and vendors is crucial. For every procurement activity, assess its likelihood to invite inappropriate behavior in the procurement process to determine the necessity of including specific integrity language. In all relevant RFPs, include a prominently displayed Integrity Alert section, clearly outlining the commitment to genuine Indigenous community engagement. Similarly, distribute an Integrity Alert letter to all existing and new suppliers and vendors annually or upon onboarding, and immediately in response to specific concerns. Maintain meticulous records of all RFPs and communications issued, documenting the inclusion of integrity language, and the date of dispatch to suppliers and vendors.

Implement a robust compliance monitoring system to ensure adherence to these practices. This system should involve regular reviews of supplier and vendor strategies regarding Indigenous community engagement, and a mechanism for reporting non-compliance.
